Basic Hierarchy:
- Folders: Organize Service Types and other Folders
- Service Types: Contain the plans for the ministry/department/area
-
Plans: Each occurrence for the service or event
- Within plans there is a hierarchy that controls everything:
- Times: This is when the event starts. Do not use arrival time for volunteers. That can be set as an Other time.
- Teams: This is the group of areas that you are scheduling for. This could be by a room or area. (example: Pathfinders Green, Band, Media, Coffee, Kitchen, etc.)
- Positions (and Tags): This is the role or spot they serve in while at that event/service. (Example:Greeter, Greeter lead, Guitar, Vocals, Teacher, Teacher assistant, Cook, Assistant, etc.)
- Tag Teams vs. Regular teams. At one time, we used Tag Teams to schedule teams. The structure for this does exist in the system. However, it is not a requirement to use it.
Tag Teams make it easier for you to add remove people in bulk and add them to different teams quickly, you can use the method of assigning Tags to the person. Most service types at Mercy Culture are set up for this feature. If you do not have a Tag created, check with you Department Lead to see if they can create it, otherwise, you will need to put in a support ticket.
